Common issues and solutions
Error: "OpenAI API key not configured"
Contact Administrator
This error means the server OpenAI API key is missing or invalid. Only server admins can fix this.
User Action: Wait
This is not your fault. Contact support to notify administrators of the configuration issue.
Error: "CSRF token validation failed"
Cause: Expired Session
CSRF tokens expire for security. This happens if you leave a page open for too long.
Solution: Refresh Page
Refresh the page (Cmd/Ctrl + R) to get a new CSRF token.
If Persists: Clear Cookies
Browser Settings → Privacy → Clear cookies → Logout and log back in.
Error: "Failed to get bot status" (Recall.ai)
Temporary API Issue
Recall.ai API may be temporarily unavailable. Status will update when API recovers.
Refresh Page
Refresh to retry status check. If bot is still recording, it's working fine.
Check Bot in Meeting
Look in the actual meeting participant list. If bot is there, recording is working despite status error.
Error: "Circuit breaker open - diarization service down"
Temporary Service Outage
Diarization service is experiencing issues. Transcription will continue without speaker labels.
Your Transcription Still Works
You'll get the full transcription, just without speaker identification (SPEAKER_00, etc).
Retry Later for Speakers
Wait a few hours and re-upload the file with diarization enabled to get speaker labels.
Error: "Request timeout" or "ETIMEDOUT"
Cause: Network or Server Issue
Either your connection is unstable, or the server is under heavy load.
Solution 1: Retry Request
Click retry or refresh page and try again.
Solution 2: Check Internet
Ensure you have stable internet connection. Try accessing other websites.
Solution 3: Wait and Retry
If server is overloaded, wait 10-15 minutes and try again.
Error: "File size exceeds maxBodyLength"
Hard Limit Exceeded
This is different from plan limits. The file exceeds the absolute maximum (500 MB for uploads, 600 MB for processing).
Solution: Compress or Split
Compress audio to a lower bitrate or split into smaller files.
Error 500 or 502 (Server Error)
Temporary Server Issue
The server encountered an unexpected error. This is not your fault.
Wait and Retry
Wait 5-10 minutes and try again. Most 500 errors resolve automatically.
Contact Support if Persists
If error continues for >1 hour, report to support with error details.
Error 401 or 403 (Unauthorized/Forbidden)
401: Not Logged In
Your session expired. Logout and log back in.
403: Feature Not Available
You're trying to access a feature not available on your plan. Check plan limits.
Accessing Someone Else's Transcription
You can only access your own transcriptions or those explicitly shared with you.
