Understanding Access Levels
Learn about view-only access and upcoming collaboration features like comments and editing.
Access levels control what recipients can do with shared transcriptions. Currently, all sharing is view-only, with more collaboration features coming soon.
Current: View-Only Access
When you share a transcription, recipients can:
- ✅ Read the full transcription
- ✅ Search within the text
- ✅ View timestamps and speaker labels
- ✅ Play the original audio (if available)
- ✅ Copy text to clipboard
- ❌ Cannot edit the transcription
- ❌ Cannot delete or move the file
- ❌ Cannot share it further
Coming Soon: Comment Access
Comment access will allow recipients to:
- Add comments and notes
- Reply to other comments
- Highlight sections for discussion
- @mention team members
- View comment history
Coming Soon: Edit Access
Edit access will allow recipients to:
- Edit transcription text
- Correct mistakes and typos
- Add or modify speaker labels
- Adjust timestamps
- Version history tracking
Pro Tip
While waiting for collaboration features, you can export transcriptions as DOCX and use Google Docs or Microsoft Word for collaborative editing.
Who Can See Shared Files
Shared file visibility depends on how you shared it:
- Private Link: Only logged-in TranscribeNext users with the link
- Public Link: Anyone with the link, no login required
- The file owner can always see and manage the file
Managing Shared Access
As the file owner, you can:
- See who has access (coming soon)
- Revoke public access anytime
- Change access levels (coming soon)
- Delete the file entirely (removes all access)
Important
There's currently no way to see who has accessed your shared links. Keep this in mind when sharing sensitive information.
